Privacy Policy


1. Controller

2. Hosting and infrastructure

Our software and the associated data are hosted on the infrastructure of external service providers:


IONOS: We use infrastructure services (virtual servers) provided by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. IONOS processes data on our behalf (e.g. IP addresses, server log files) in order to ensure the operation of the software.


WebhostOne: Our domain and DNS settings are administered through webhostone GmbH, Rheinvogtstraße 7, 79713 Bad Säckingen, Germany.


Cloudflare R2: For storing the media content (images, videos) that you upload to the software, we use the object storage service Cloudflare R2 provided by Cloudflare, Inc., 101 Townsend St, San Francisco, CA 94107, USA. The data is stored on servers located within the European Union.


These service providers are used on the basis of Art. 6(1)(f) GDPR (legitimate interest in providing our service securely and with good performance) and Art. 6(1)(b) GDPR (performance of a contract).



3. Collection and storage of personal data

When you visit our website, information of a general nature is recorded automatically. This information (server log files) includes, for example, the type of web browser, the operating system used, the domain name of your internet service provider, your IP address and similar data. This data is technically necessary in order to display the website correctly and to ensure security.



4. Registration and user account

When you register for our service, we collect the following data:

  • Email address

  • First and last name

  • Password (stored in encrypted form)

  • Where applicable, company name and address details for invoicing

This data is used to provide the service, to administer your account and to communicate with you (Art. 6(1)(b) GDPR).



5. Payment processing and invoicing (Stripe)

For processing payments and issuing invoices we use the payment service provider Stripe Payments Europe, Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland.


If you choose a paid plan, your payment data (e.g. credit card details, bank account details) and invoice-related information (name, address) are transmitted to Stripe. Stripe processes this data as an independent controller, or jointly with us, in order to carry out the transactions and to meet legal requirements (e.g. fraud prevention). This transfer of data takes place for the performance of the contract pursuant to Art. 6(1)(b) GDPR.



6. Cookies

Our website uses cookies. Without your consent we limit ourselves to technically necessary cookies which serve, for example, to keep you identified after logging in (session cookies). Without these cookies the password-protected area of the software could not be used.


In addition, we use cookies for advertising performance measurement solely on the registration page and only with your express consent. Details can be found in section 7 below. If you do not give that consent, such cookies are never set.



7. Advertising performance measurement (Google Ads)

We run advertisements on Google, including on YouTube. In order to assess how many visitors register with us after seeing such an advertisement, we use Google Ads conversion tracking – with your consent.


Strictly limited use: This measurement takes place solely on the registration page and on the page shown after you click the confirmation link in our email. No Google service is loaded anywhere else in SignageNow. In particular:

  • no measurement whatsoever takes place while you work with the software;

  • your usage behaviour within the application is not analysed;

  • we do not create usage profiles and do not operate web analytics;

  • the contents of your playlists, media or screens are not recorded.

Legal basis: This processing takes place exclusively on the basis of your consent pursuant to Art. 6(1)(a) GDPR and Section 25(1) TDDDG. Without your consent, no cookies are set for advertising purposes and no identifiers are transmitted to Google. Your use of SignageNow is entirely independent of this – declining puts you at no disadvantage whatsoever.


Data processed: If you have given your consent, the following are processed:

  • a click identifier assigned by Google (gclid, gbraid or wbraid), if you reached us via one of our advertisements;

  • a cookie used to recognise that click (_gcl_au, stored for up to 90 days);

  • your IP address as well as details of your browser, operating system and the time of access;

  • the information that a registration was completed on our website.

In doing so we transmit no names, email addresses or other customer data to Google. We do not evaluate your behaviour within the application; only the completion of a registration is reported.


Consent mode: We use Google's consent mode. As long as you have not given your consent, no identifiers are stored or read. In that case Google receives only a message without any recognition features, from which purely statistical estimates are derived.


Record of your decision: We must be able to demonstrate whether and to what you consented (Art. 7(1) GDPR). For every decision – consent, refusal and any later withdrawal – we therefore record: a randomly generated identifier with no link to your name or your account, the decision itself, the time it was made, the version of the consent text, the page called up and the language setting, your browser identification, and your IP address in the form of an irreversible check value. The IP address itself is not stored. The legal basis is our legal obligation to keep such records (Art. 6(1)(c) in conjunction with Art. 7(1) GDPR).


Recipient: Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.


Transfer to third countries: Processing in the USA by Google LLC cannot be ruled out. Google LLC is certified under the EU-US Data Privacy Framework, so an adequacy decision of the European Commission is in place. Standard contractual clauses apply in addition. We point out that US authorities may under certain circumstances gain access to this data and that legal protection fully equivalent to European standards cannot be guaranteed in every case.


Storage period: The cookies used by Google are deleted after 90 days at the latest. We store your decision about consent for 6 months so that we do not have to ask you again on every visit. The record of that decision is kept for three years and then deleted automatically.


Withdrawal: You may withdraw your consent at any time with effect for the future. The lawfulness of the processing carried out up to the withdrawal remains unaffected.

8. Player playback statistics (Reports)

So that you as a customer can see which content was actually played on your screens, the player records playback statistics. You will find this evaluation in your account under "Reports". The processing is carried out for the performance of the contract concluded with you (Art. 6(1)(b) GDPR); in doing so we act as a processor on your behalf.


The following data is processed exclusively:

  • a randomly generated device identifier which is stored solely in the local storage of the playing device and has no personal reference;

  • the coarse device category (e.g. "Google Chromecast"), the browser (e.g. "Chrome") and the operating system (e.g. "Android");

  • the number of playbacks, the display duration and any load errors per item.

Expressly not processed: IP addresses, location data, screen resolutions, full browser identifiers (user agent) or any other characteristics suitable for recognising a person. The user agent technically transmitted with the request is immediately reduced to the three coarse details listed above and is otherwise not stored.


Storing the device identifier on the end device is strictly necessary in order to provide the service you have expressly requested (Section 25(2) no. 2 TDDDG), because the statistics cannot be produced without distinguishing between the individual screens.


The counters are stored exclusively as daily totals; no individual log of playbacks is created. If you delete your account, all associated statistical data is deleted with it.


Disclosure: Your evaluations are visible only within your account. For reach reporting towards providers of embedded content, we evaluate exclusively anonymous totals per screen app (number of playbacks and number of devices involved), with no reference whatsoever to individual customers, playlists or devices. No disclosure to third parties takes place beyond this.


Note for businesses: The operating hours of individual screens may under certain circumstances allow conclusions to be drawn about the attendance times of employees. Please check on your own responsibility whether co-determination rights (Section 87(1) no. 6 of the German Works Constitution Act) apply within your company.



9. Your rights

You have the right to obtain information about the personal data we hold about you at any time. You also have the right to rectification, blocking or – apart from the data retention required for business processing – erasure of your personal data. Please contact our data protection contact for this purpose.



10. Data security

In order to protect the security of your data during transmission, we use encryption methods that correspond to the current state of the art (SSL/TLS) via HTTPS.

12. Sharing functions (WhatsApp and email)

Our software allows you to share playlists via WhatsApp or email. These are simple links. Data is only transmitted from us to the respective service once you actively click the corresponding button and your local WhatsApp app or your email program opens. In that case, the data processing takes place on your end device or by the respective service provider under their own privacy policy.



13. Affiliate partner programme (Amazon Associates)

We use affiliate links on our website. We participate in the Amazon EU Associates Programme. Amazon places advertisements and links to the Amazon.de website on our pages, from the referral of which we earn through advertising cost reimbursements (commissions).


Amazon uses cookies in order to trace the origin of orders. This allows Amazon to recognise that you clicked the partner link on our website. "Affiliate cookies" are stored on the basis of Art. 6(1)(f) GDPR. We have a legitimate interest in this, as the commission can only be settled by means of these cookies. Where corresponding consent has been requested (e.g. via a cookie banner), the processing is carried out exclusively on the basis of Art. 6(1)(a) GDPR.
